Why are we receiving a quarterly invoice?

After careful consideration, DBZ has decided to switch to a quarterly billing cycle for the 2020 plan year.

 

Have our fees been increased?

No, your fees have not been increased. The quarterly invoices for 2020 are based off the 2018 administration fee charged in 2019 (base fee + brokerage account fee + annual document fee). Adjustments may be made for any additional work, such as Required Minimum Distributions or loan processing.

 

The invoice I received in January/February wasn’t the annual Document Compliance fee I usually pay?

No. The invoice you received in the first Quarter of 2020 represented ¼ of the annual administration fee plus the annual compliance fee. That invoice is what you can reasonably expect each quarter to be after the 2019 Annual Administration is completed.

 

How are my quarterly invoices received in 2020 calculated?

The quarterly invoices for 2020 are based off the 2018 administration fee charged in 2019, ¼ the total of the base fee + any brokerage account or participant fee + annual document fee. Adjustments may be necessary after the completion of the annual administration, such as testing failures and loan processing, and will be invoiced with the quarter following the completion of work.

 

How will my 2021 quarterly invoice be calculated?

The quarterly invoices for 2021 are based off the 2019 administration fee charged in 2020 (base fee + brokerage account fee + annual document fee).

 

Will I receive an invoice in 2021 for 2020 administration?

While your quarterly invoice for the 2020 administration is being billed in 2020 using estimates, if any additional services are needed (such corrected testing, returns, etc.) these services will be added to the next quarterly invoice after the completion of the annual administration and Form 5500.

 

When will I receive the 2nd quarterly invoice?

You will receive the next quarterly invoice near the middle of May.

 

How many invoices will I receive each year?

You will receive four (4) invoices annually going forward, one toward the beginning of each quarter.

 

Will I be sent an annual invoice for the 2019 administration?

Yes. The 2019 plan year administration will be billed with the quarterly invoice following the completion of the work. This will be the 2020 quarterly fee plus our fee for the 2019 administration.

 

How will I receive my invoice going forward?

Invoices are no longer being mailed. You will receive all future invoices via email.

 

Who would the invoice email have come from?

The invoice email would have come from our accounts receivable department accountsreceivable@dbzinc.com

 

Can I receive my invoice as an attachment/pdf?

Yes. Upon request, we will provide your invoice as an attachment.

 

Can an invoice be sent to more than one person?

No. Our billing system only permits one contact to receive an invoice.

 

Can a copy of the invoice be sent to another individual at my company?

No. Our billing system only permits one contact to receive an invoice.

 

My plan’s year end is off calendar, when will I be receiving an invoice for the 2019 administration?

Upon completion of the annual administration for the plan year ending in 2019, you will receive your quarterly invoice which will include your calculated quarterly amount, the fee for the annual administration for the plan year ending in 2019 and the amount which will be invoiced for any administration between the end of the plan year and January 1, 2020.
